This policy explains what personal information we collect when you visit or buy from groundingsoul.com, why we collect it, and what you can do about it. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
Who We Are
Grounding Soul is operated by E.J Aubin & A.D Poole T/A Grounding Soul, a partnership registered in Queensland, Australia. You'll find our full details at the bottom of this page. If you have a question about your information, email us at support@groundingsoul.com.
What We Collect
Information you give us
When you place an order, we collect your name, billing and delivery address, email address, phone number and payment details. If you sign up for our emails, we collect your email address. If you contact us, we keep the messages you send and our replies.
Information we collect automatically
When you browse the site, we automatically collect your device type and browser, your IP address, your general location based on that IP address, the pages you look at, how you arrived at our site, and how you move around it.
What we don't collect
We never see your full card number. Payments are handled by Shopify Payments, PayPal, Apple Pay, Google Pay and Shop Pay, who process card details directly. We don't collect sensitive information as the Privacy Act defines it, and that includes health information. Please don't send it to us.
How We Use It
We use your information to:
- Process your order, take payment and get your parcel to you
- Send order confirmations, shipping updates and tracking
- Answer your questions and handle returns
- Send you marketing emails, if you've signed up for them
- Understand how people use the site so we can improve it
- Detect and prevent fraud, and meet our legal obligations
We only use your information for the reasons we collected it, for a related reason you'd reasonably expect, or where the law requires or allows it.
Cookies and Tracking
Cookies are small files stored on your device. We use them to keep your cart working, remember your preferences and understand how the site is used.
We use these services, each of which sets its own cookies:
Shopify runs our store, processes orders and handles checkout.
Google Analytics tells us how many people visit, which pages they read and where they came from. Google's privacy policy: https://policies.google.com/privacy
Microsoft Clarity creates session recordings and heatmaps of how people use the site, capturing mouse movement, clicks, scrolling and the pages you visit, so we can see where the site is confusing. Microsoft's privacy statement: https://privacy.microsoft.com/privacystatement

Managing cookies. You can block or delete cookies through your browser settings, and most browsers let you refuse them altogether. Keep in mind that some parts of the site, including checkout, won't work properly without them. You can opt out of Google Analytics specifically using their browser add-on at https://tools.google.com/dlpage/gaoptout. If you'd rather we stopped tracking you through these tools, email us at support@groundingsoul.com and we'll take care of it.
Who We Share It With
We share your information only with companies that help us run the business:
- Payment processors, to take your payment securely
- Our fulfilment partner and shipping carriers, to pack and deliver your order
- Shopify, which hosts the store
- Klaviyo, Google Analytics and Microsoft Clarity, as described above
We may also share information if the law requires it, if we need to enforce our terms, or if the business is sold or transferred.
We don't sell your personal information, and we don't share it with third parties for their own marketing.
Marketing Emails
If you sign up, we'll send you emails about our products and offers. Every email has an unsubscribe link at the bottom, and one click takes you off the list, in line with the Spam Act 2003. You'll still get transactional emails about orders you've placed.
Overseas Disclosure
We're based in Australia, but some of the companies we rely on are not. Shopify, Klaviyo, Google and Microsoft store and process data in the United States and other countries. Our fulfilment and shipping partners may also be located overseas.
That means your personal information may be stored or handled outside Australia. We take reasonable steps to make sure these providers handle your information consistently with the Australian Privacy Principles, but overseas recipients may not be subject to the Privacy Act, and you may not be able to seek redress in Australia if something goes wrong.
How Long We Keep It
We keep order records for as long as we need them for accounting, tax and legal reasons, which is generally seven years. Marketing contacts are kept until you unsubscribe. Analytics data is kept according to each provider's retention settings. When we no longer need your information and we're not required to keep it, we delete it or de-identify it.
Your Rights
You can email us at support@groundingsoul.com to:
- Ask what personal information we hold about you and get a copy of it
- Ask us to correct anything that's wrong, out of date or incomplete
- Ask us to delete information we no longer need
- Unsubscribe from marketing
We'll respond within 30 days. We may need to verify who you are before we act on a request. In most cases access is free, though if a request takes a lot of work we may let you know about a reasonable cost before we start.
If we refuse access or a correction, we'll tell you why in writing and explain how to complain.
Data Breaches
If something goes wrong and a breach is likely to cause you serious harm, we'll notify you and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.
Complaints
If you think we've mishandled your personal information, email us at support@groundingsoul.com with "Privacy Complaint" in the subject line. We'll acknowledge it within 5 business days and give you a written response within 30 days.
If you're not happy with how we've handled it, you can take the matter to the Office of the Australian Information Commissioner:

Children
Our store is for adults and we don't market to children. We don't knowingly collect personal information from anyone under 18. If you think a child has given us their information, email us and we'll delete it.
Security
We use industry-standard measures to protect your information, and our store runs over an encrypted connection. No system is completely secure, so we can't guarantee absolute security, but we take it seriously.
Changes to This Policy
We'll update this policy when our practices change. The date at the top tells you when it was last revised.
